User Agreement

This User Agreement sets the terms for accessing and using ROSCADEMY, including its medical education, documentation, AI, browser-tool, and reference-management features.

1. Acceptance

By creating an account, signing in, requesting access, using ROSCADEMY, or using any related browser extension or userscript, you agree to this User Agreement and the Privacy Policy. If you do not agree, do not use ROSCADEMY.

2. The Service

ROSCADEMY provides medical education, reference, documentation, question-bank, AI-assistance, image-analysis, retrieval, and workflow tools. The service includes EMNOTES, EMSCRIBE, EMQBank, ABG Analyzer, Labs, SOAP Review, browser extensions, userscripts, and related administrator tools.

We may add, remove, suspend, modify, restrict, or discontinue features at any time, including for maintenance, safety, reliability, cost control, legal compliance, or abuse prevention.

3. Eligibility and Access

You may use ROSCADEMY only if you are legally able to enter this Agreement and are authorised to use the relevant tools. Some apps require administrator approval, specific account roles, or specific tiers. Access may be granted, refused, changed, suspended, or revoked.

You must provide accurate account information and keep it up to date. You may not impersonate another person, share accounts, sell access, or bypass app-level approvals.

4. Account Security

You are responsible for your account, password, active sessions, devices, browser storage, API tokens, userscript tokens, and any activity performed through your account. Keep external-session tokens and browser-tool tokens secret. Notify us promptly at [email protected] if you believe your account or token has been compromised.

5. Medical, Clinical, and Educational Use

ROSCADEMY is a support tool. It is not a substitute for professional judgment, clinical training, direct patient assessment, local protocols, institutional policy, or independent verification.

AI outputs, generated notes, ABG interpretations, educational explanations, search results, references, and suggested plans may be inaccurate, incomplete, outdated, unsafe, or inappropriate for a specific patient or jurisdiction. You are responsible for reviewing, verifying, editing, and approving any output before using it.

Do not rely on ROSCADEMY as the sole basis for diagnosis, treatment, triage, disposition, emergency care, prescribing, exam decisions, credentialing, or any other high-stakes decision.

6. Patient Data and Confidential Information

You must not submit identifiable patient data, clinical records, confidential institutional data, or regulated health information unless you are authorised to do so and the use is permitted by applicable law, professional obligations, patient confidentiality rules, and institutional policy.

Where possible, use de-identified, pseudonymised, or minimum-necessary information. You are responsible for determining whether your use requires patient consent, institutional approval, a data-processing agreement, a business associate agreement, or another legal or governance arrangement.

7. AI and Third-Party Providers

ROSCADEMY can route prompts, uploaded content, clinical text, images, patient context, references, and generated outputs to configured AI, search, OCR, parsing, hosting, email, authentication, and infrastructure providers. These may include OpenAI, OpenRouter, LM Studio, Resend, Google OAuth, Brave Search, Crawl4AI, Docling, MarkItDown, or similar configured services.

Provider availability, model behaviour, latency, pricing, retention, location, and data handling may vary. You must not submit data to a provider unless you are authorised and the provider arrangement permits that use.

8. Browser Extensions, Userscripts, and External Systems

Browser extensions, userscripts, SOAP Review, and external chat or patient tools may interact with third-party systems such as hospital, EMR, university, or institutional websites. You may use these tools only where you are authorised to access the source system and where automation, extraction, summarisation, or transmission is permitted by that system, your institution, and applicable law.

You are responsible for checking what the tool extracts, sends, stores, and displays. Do not use browser tools to bypass access controls, scrape unauthorised data, or transmit information outside approved workflows.

9. Your Content

You keep ownership of content you submit, upload, create, or import, subject to any rights held by patients, institutions, publishers, or other third parties. You grant ROSCADEMY the limited permission needed to host, store, process, transform, index, display, transmit, back up, and otherwise use your content to provide and secure the service.

You represent that you have the rights and permissions needed to submit your content. Do not upload or import copyrighted, confidential, patient, institutional, or third-party material unless you have the right to do so.

10. Acceptable Use

You agree not to:

  • use ROSCADEMY unlawfully or in violation of professional, institutional, or patient confidentiality obligations;
  • submit data that you are not authorised to process;
  • use the service for autonomous clinical decisions or unreviewed patient-care instructions;
  • misrepresent AI output as independently verified professional advice;
  • attempt to access another user account, patient workspace, admin tool, token, system, or dataset without permission;
  • probe, scan, exploit, overload, reverse engineer, or interfere with the service or its infrastructure;
  • upload malware, malicious prompts, unlawful content, or content that infringes third-party rights;
  • circumvent rate limits, access approvals, authentication, logging, or safety controls;
  • resell, sublicense, or commercially exploit the service without written permission;
  • use ROSCADEMY to build a competing service by scraping, bulk-exporting, or misusing platform content.

11. Administrator Rights

Administrators may review access requests, manage roles and tiers, approve or revoke app access, manage model and provider settings, inspect usage and security logs, manage references, revoke sessions, and take actions needed to operate and protect the service.

12. Suspension and Termination

We may suspend, restrict, or terminate access if we believe you violated this Agreement, created security or privacy risk, misused patient or institutional data, created operational risk, violated law or policy, or used the service in a way that could harm ROSCADEMY, users, patients, institutions, or third parties.

You may delete your account through the account page where supported. Some records may remain where required for security, legal, audit, backup, patient-safety, professional, or institutional reasons, as explained in the Privacy Policy.

13. Availability and Changes

ROSCADEMY may be unavailable, delayed, interrupted, inaccurate, or degraded. Model providers, local runtimes, search providers, OCR tools, crawling services, hosting, databases, and network services may fail or change without notice.

14. Disclaimers

ROSCADEMY is provided on an "as is" and "as available" basis. To the fullest extent permitted by law, we disclaim all warranties, whether express, implied, statutory, or otherwise, including warranties of accuracy, reliability, fitness for a particular purpose, non-infringement, availability, security, and error-free operation.

We do not warrant that AI outputs, references, calculations, extractions, summaries, or clinical suggestions are correct, current, complete, safe, or suitable for your circumstances.

15. Limitation of Liability

To the fullest extent permitted by law, ROSCADEMY and its operators will not be liable for indirect, incidental, special, consequential, exemplary, punitive, or lost-profit damages, or for loss of data, clinical harm, institutional consequences, provider failures, model errors, unauthorised use, or reliance on unverified output.

Nothing in this Agreement excludes liability that cannot be excluded under applicable law.

16. Indemnity

To the extent permitted by law, you agree to defend, indemnify, and hold harmless ROSCADEMY and its operators from claims, losses, liabilities, damages, costs, and expenses arising from your content, your use of the service, your breach of this Agreement, or your violation of law, professional obligations, institutional policy, patient confidentiality, or third-party rights.

17. Governing Law

Unless mandatory law requires otherwise, this Agreement is governed by the laws of Malaysia, without regard to conflict-of-law rules.

18. Updates to This Agreement

We may update this Agreement from time to time. Material changes may be notified through the app, by email, or by another appropriate method. Continued use of ROSCADEMY after an update means you accept the updated Agreement.
